Your information in OO Toolkit

Last updated August 12, 2026. This notice describes the data the current application handles and the controls available to you.

Data we collect

  • Account data: name, username, email, company and optional contact/address fields.
  • Operations data: equipment, loads, maintenance records, pay entries, trip summaries and daily certifications you enter.
  • Location data: GPS coordinates, timestamps, accuracy, speed, heading and tracking-session identifiers when tracking is enabled.
  • Routing data: route endpoints, vehicle constraints and saved route plans.
  • Photo evidence: a driver photo and capture metadata when you use the daily certification workflow. Photos are encrypted in private storage. The application does not perform facial recognition or create biometric templates.
  • Technical data: IP address, user agent, session and security/audit events needed to operate and protect the service.
  • Consent and request data: privacy choices and the history needed to fulfill access, correction, portability, and deletion requests.

How data is used

We use data to authenticate accounts; provide routing, trip and operations tools; preserve records you request; secure and troubleshoot the service; respond to privacy requests; and meet applicable legal obligations. OO Toolkit is a support tool. It does not by itself establish DOT, ELD, tax, payroll, or legal compliance.

Service providers and disclosure

Map and geocoding requests may be sent through OO Toolkit's controlled gateway to the configured mapping providers. Routing requests are handled by the OO Toolkit routing service. We may disclose information when required by law, to protect the service and its users, or to vendors acting under our instructions. We do not represent driver photos as being sent to a facial-recognition provider.

Retention and security

Records remain while needed to provide the service, handle disputes and security, or satisfy applicable obligations. Some regulated or audit records may not be immediately erasable. Portable exports expire after seven days. Driver-photo evidence follows the application's configured archive-cleanup schedule. We use access controls, validation, audit records, private storage, and encryption for stored photo evidence, but no online service can guarantee absolute security.

Your controls

From your account you can update profile and email preferences, request access or deletion, and create an export in JSON, CSV, or XML. Downloads are private and account-scoped. Depending on where you live, you may also have rights to access, correct, erase, restrict, object, or receive a copy of personal information. A legal exception may limit a request.
